# Your day-by-day trip itinerary: times, transfers and travel between stops

> The Kokai plan has a section for each day of the trip and another, «Sin fecha» (“Undated”), for things that don’t have a day yet. Each day holds your places, notes and transfers in order, with their times, and between one stop and the next an estimate of distance and time: the straight-line distance times 1.3, at the average speed of how you’re getting there. If you don’t want to start from scratch, the AI suggests the plan in batches of three days, you review it on the map and keep only what works for you.

## In a nutshell

- **Days:** One for each date of the trip, up to 120, plus «Sin fecha» (“Undated”). Today, counted in the destination’s time zone, is marked «Hoy» (“Today”).
- **What goes into a day:** A place from the map, a note or a transfer, with a time, how many minutes it lasts and notes.
- **How you get there:** On foot (4.5 km/h), bike (14), public transport (18), boat (30), car (40), train (90) or plane (600).
- **How it’s estimated:** Straight-line distance × 1.3, at the transport’s average speed. The app always says “about”.
- **If you don’t say how:** On foot if it’s under 1,500 m; otherwise, public transport.
- **AI plan:** In batches of 3 days, in the background. Nothing goes into your plan until «Guardar en el plan» (“Save to the plan”).
- **Google Calendar:** Soon: timed entries, in the destination’s time.

## A section per day, and «Sin fecha» (“Undated”)

Open a trip and tap **Plan** in the bar. You don’t create days by hand: they come from the trip’s start and end dates, so a trip from October 3 to 7 has five days. Each one is a card with its number, the day of the week and the date, and a summary: how many things it holds and, if there are journeys, the total distance and “about 1 h 25 min of travel”. The first 14 cards are shown open; the rest, collapsed.

At the end there’s **«Sin fecha»** (“Undated”): «Lo que quieres hacer y aún no sabes qué día» (“What you want to do and don’t know which day yet”). It’s for jotting things down before the trip is settled. Entries whose date has ended up outside the trip also go there, for example if you come back earlier: they aren’t lost.

A trip without dates shows «Este viaje aún no tiene fechas» (“This trip doesn’t have dates yet”) with the «Ponerle fechas» (“Add dates”) button. Meanwhile, everything you add waits in «Sin fecha» and gets spread out once it has them.

> The plan shows at most 120 consecutive days from the start date.

## Places, notes and transfers

With «Añadir» (“Add”) at the foot of a day, «Añadir al» (“Add to”) opens with that date. In «Qué» (“What”) you choose between «Uno de mis sitios» (“One of my places”), which searches the places in [Interests](https://kokai.app/en/mapa/) by name or address, and «Otra cosa (una nota, un traslado)» (“Something else (a note, a transfer)”), which is free text: “Train to Kyoto, pick up the car…”. The time is optional. You can also add a place from its card, with «Añadir al plan» (“Add to plan”).

**Every entry can carry a location**, taken from your places: a note or a transfer too, by ticking «Pasa en uno de mis sitios» (“It happens at one of my places”), or «Ponerle una ubicación» (“Give it a location”) when editing one that already exists. With a location, the entry joins the [route](https://kokai.app/en/en-ruta/#la-ruta-del-plan) and counts towards the day’s legs; without one, the entry says so: «Sin ubicación» (“No location”). A note with a location is still called by what it is, with the place underneath.

Tapping an entry opens it for editing:

- **Time:** The destination’s local time. You type it in digits and it’s shown in a fixed-width font, so times line up.
- **Minutes it lasts:** How long you plan to stay. It’s for you and for the calendar (soon).
- **How you get there from the previous stop:** One of the seven kinds of transport, or nothing: «Andando si está cerca; si no, transporte público» (“On foot if it’s close; otherwise, public transport”).
- **Notes:** “Tickets bought, meet Ana…”

Each entry has «Subir» (“Move up”) in view and, under «Más acciones» (“More actions”), «Ver en el mapa» (“See on the map”), «Editar» (“Edit”), «Bajar» (“Move down”), «Mover al» (“Move to”) another day (up to 12 are offered), «Quitar el día» (“Remove the day”, which sends it to «Sin fecha») and «Quitar del plan» (“Remove from plan”). Whatever you move to another day goes to the end of that day; you decide the order, and it doesn’t reorder itself by time.

A **transfer** (“Train to Sintra”) with its transport takes over the next stretch: the time to the next stop is worked out with that transport. Transfers with transport are suggested by the AI plan; by hand, you get the same result by setting «Cómo se llega desde lo anterior» (“How you get there from the previous stop”) on the stop you arrive at.

## Distances and times between stops

Between two consecutive stops that are places on the map, the plan shows the transport icon, the distance and the time: “6.1 km · about 26 min”. Notes don’t break the count: it’s measured from the last place to the next. It’s an **estimate**, and it says so:

1. The straight-line distance between the two points is calculated (the haversine formula).
2. It’s multiplied by **1.3**, the typical detour of going along streets and roads rather than in a straight line (the so-called detour index, which in cities usually ranges between 1.2 and 1.4).
3. It’s divided by the average speed of the chosen transport. If you haven’t chosen one: on foot if it’s under 1,500 m and public transport if it’s more.

Numbers are rounded so you can read them while walking: under 1 km, to 5 m (“305 m”); up to 10 km, with one decimal (“6.1 km”); from 10 km, with no decimals (“23 km”). Times are in minutes under an hour (“about 22 min”) and, above that, in hours and minutes rounded to 5 (“about 1 h 40 min”).

### Example: A day in Belém, starting from a hotel near Rossio

One day of a trip to Lisbon, with a made-up booking at a hotel near Rossio square and three stops with no transport set. Approximate coordinates for each place:

In the day’s header: 14,788 m, which rounds to **15 km**, and 84.7 minutes, which is 85: **“about 1 h 25 min of travel”**. That tells you whether the day fits before you set off, not how long it will take to the minute.

### Example: Why it’s worth saying how you’re going: Lisbon to Sintra

From Rossio to the Palácio da Pena it’s about 23 km in a straight line. With no transport set, the plan assumes public transport: 23.26 × 1.3 ÷ 18 = **about 1 h 40 min**. If on the palace entry you choose «Tren» (“Train”) in «Cómo se llega desde lo anterior» (“How you get there from the previous stop”), the calculation switches to 90 km/h: **about 20 min**.

Neither is the truth: the train leaves from Rossio, stops at Sintra station and from there you go up to the palace by bus or on foot. The estimate knows nothing about timetables or changes; that’s what each operator’s website is for, such as Comboios de Portugal’s.

> Real routes, following the streets and with public transport timetables, are still pending: they need a routing service of our own or a paid one. Until then, the estimate is for spotting that a day doesn’t fit, which is why the plan never gives a time without “about”.

## Seeing a day on the map

A day with at least one place has a **«Mapa»** (“Map”) button in its header. It opens the trip map with only that day’s places and the line joining them in the order of the plan, and above the list it says «Viendo el» (“Viewing”) with the date and a «Ver todos» (“See all”) link to go back to all your places. That way you can see at a glance whether a day goes back and forth along the same street twice.

From a specific entry, «Ver en el mapa» (“See on the map”) opens that place’s card. What you can do on the map (filter, «Dónde estoy», drag a marker) is covered in [The map](https://kokai.app/en/mapa/#filtros).

## Where each day starts and ends

If you have **booked** stays in [Accommodation](https://kokai.app/en/alojamiento/), each day of the plan starts where you slept the night before and ends where you sleep that night. Unbooked options don’t count here: the plan can’t start from a hotel that isn’t yours yet.

If the accommodation is located on the map and there are visits that day, the first journey leaves from the hotel and the last one returns to it, and both count towards the day’s total. In the Belém example above, the 26 minutes out and the 31 back are those two journeys.

## The AI plan

With dates on the trip, at the top of the plan there’s **«Crear el plan con IA»** (“Create the plan with AI”), or **«Completar con IA»** (“Complete with AI”) if you already have something. You need to have set up an AI provider with your own key, and the first time you’re asked for permission, naming the provider. [AI-powered interests](https://kokai.app/en/ia/) explains it. The rule is the same as in the rest of the app: the AI suggests and you decide.

The form asks:

- **Desde (“From”) and Hasta (“To”):** Which days to plan. With the trip already under way, «Desde» suggests today: planning days that have gone is no use.
- **Ritmo (“Pace”):** «Tranquilo: dos o tres cosas al día» (“Relaxed: two or three things a day”), «Normal: tres o cuatro cosas y las comidas» (“Normal: three or four things plus meals”) or «Intenso: de la mañana a la noche» (“Intense: from morning till night”).
- **Qué os apetece (“What you fancy”):** Free text: “A beach day, no shopping, museums only if it rains, we’re travelling with a six-year-old…”.
- **Usar mis sitios guardados (“Use my saved places”):** The AI spreads them where they fit, starting with the must-sees.
- **Proponer sitios nuevos, que se añadirán al mapa (“Suggest new places, which will be added to the map”):** Where something is missing, real places with their name, category and coordinates.
- **Incluir dónde comer (“Include where to eat”):** Lunches and dinners close to what you’re visiting that day.
- **Si esos días ya tienen cosas (“If those days already have things”):** «Respetarlas y completar los huecos» (“Keep them and fill the gaps”) or «Rehacer esos días (se sustituyen al guardar)» (“Redo those days (replaced when you save)”).

On top of that, the AI gets fixed instructions: group what’s close together on the same day, don’t go back and forth, leave long excursions for a full day, take the day of the week into account (some museums close on Mondays) and the time of year, allow for the first and last days being shorter and don’t make up the arrival time. If there’s booked accommodation, each day should leave from it and return to it.

**What it’s sent**: the destination, dates, travellers and trip description; your places (at most the 60 closest, with name, category, priority and coordinates); the plan you already have; your interests, without their conversation; and where you sleep each night, without the price, the booking or its notes. **Never** your documents, the trip’s private notes or your recorded route. ## In batches of three days, in the background

When you press «Proponer el plan de» (“Suggest the plan for”) with the number of days, the AI doesn’t get the whole trip at once: it’s requested in **batches of 3 days**. A three-day answer arrives in a minute or two and you can watch it progress; with more, the wait gets long and a dropped connection would lose too much. Each batch gets what was already suggested in the previous ones, so places aren’t repeated and the thread isn’t lost. A ten-day trip is four requests.

Meanwhile you read «Planificando los días 4 a 6…» (“Planning days 4 to 6…”), with a bar and «Puedes seguir usando la app mientras tanto» (“You can keep using the app in the meantime”): you can go to the map or the documents, and each finished batch is saved. «Parar» (“Stop”) halts the generation without losing what’s done; if a batch fails, «Intentarlo otra vez» (“Try again”); and if there are days left, «Seguir» (“Continue”). While there’s an unsaved suggestion, the plan reminds you at the top: «Tienes una propuesta de plan de la IA sin guardar» (“You have an unsaved plan suggestion from the AI”), with «Revisarla» (“Review it”).

The AI’s answer is checked before it’s shown. If it gets the dates wrong but returns as many days as it was asked for, they’re assigned in order. A badly written time is left without a time. A “place” that isn’t one of yours and doesn’t come with plausible coordinates isn’t put on the map: it stays as a note on that day.

> The suggestion lives only on this device until you save it: it isn’t part of the trip and isn’t copied to your account or to other devices. If you close the app halfway, what’s done is still there.

## Reviewing the suggestion on the map and saving it

The suggestion is shown day by day next to a map. New places appear as suggestions, with a dashed border, and carry the «nuevo» (“new”) label in the list. With the «Todos» (“All”), «Día 1» (“Day 1”), «Día 2»… buttons, the map shows only that day with the line of its route; tapping a marker highlights its entry in the list.

- The X on each entry removes it from the suggestion: «Quitar» (“Remove”) and the name «de la propuesta» (“from the suggestion”).
- Each day’s menu has «Ver en el mapa» (“See on the map”), «Otra propuesta para este día» (“Another suggestion for this day”, which asks again for just that day) and «Quitar este día de la propuesta» (“Remove this day from the suggestion”).
- At the bottom, what will happen when you save, for example: «14 cosas para el plan · 4 sitios nuevos en el mapa · sustituye 2 entradas que había» (“14 things for the plan · 4 new places on the map · replaces 2 existing entries”).
- «Guardar en el plan» (“Save to the plan”) saves it; «Descartar» (“Discard”) throws it away, after warning: «Se pierde lo que ha propuesto la IA. Tu plan y tus sitios no cambian.» (“What the AI suggested will be lost. Your plan and your places don’t change.”)
- «Reportar» (“Report”) flags an inappropriate or harmful AI answer, without leaving the screen.

**When you save**, everything goes in at once (or nothing does: half a plan without its places would be worse than none):

1. New places go onto the map with an **approximate location**, until you drag the marker or confirm it (see [The map](https://kokai.app/en/mapa/#ubicacion-aproximada)), and set off on their own to look for their photos and links.
2. A new place that **has the same name as one of yours and is less than 1 km away** is that place: it isn’t duplicated. When comparing names, accents, capitals and punctuation don’t count. Two “Café Central” five kilometres apart are two places.
3. The same new place appearing on two days is created only once.
4. New entries are slotted in by time among what was already on that day. Whatever has no time goes after the previous item in its own list (a “buy tickets” note follows its museum) and, at the same time, what was already there goes first.
5. If you chose «Rehacer esos días» (“Redo those days”), what was on them is removed.

### Example: Three days in Lisbon and Sintra

1. A trip from October 3 to 5, with 9 places saved in Lisbon (two must-sees) and a made-up booking near Rossio. You ask for a plan for the 3 days, normal pace, “a whole day in Sintra”, with your places, new places and where to eat.
2. As it’s 3 days, it goes in a single batch. After a while, the suggestion: day 1 around Baixa and Alfama with your two must-sees; day 2 in Sintra, with a “Train to Sintra” transfer, the Palácio da Pena and the Quinta da Regaleira as new places and somewhere to eat; day 3 in Belém.
3. You look at day 2 on the map and don’t like the place to eat: you press its X. On day 3 you don’t like anything: «Otra propuesta para este día» (“Another suggestion for this day”).
4. At the bottom you read, for example, «14 cosas para el plan · 4 sitios nuevos en el mapa». You press «Guardar en el plan». The suggestion included Torre de Belém as a new place, but you already had it saved: since it has the same name and is less than 1 km away, yours is used.

## Times are the destination’s, and so is “today”

When you create a trip you choose the **«Zona horaria del destino»** (“Destination time zone”): «Las horas del plan y de las reservas se leen en la hora de allí» (“Plan and booking times are read in local time there”). The plan’s dates are calendar days at the destination, not instants, and the times are those of the clock there. A visit at 10:00 in Lisbon is at 10:00 even if you prepare the plan from another country, and the clocks changing doesn’t move any day.

The day marked **«Hoy»** (“Today”) is also counted at the destination, with the IANA time zone database that browsers and operating systems include.

### Example: Madrid and Lisbon, just after midnight

In October, Lisbon is one hour behind Madrid. If at 00:30 on the 4th you look at the plan for your Lisbon trip from Madrid, it’s 23:30 on the 3rd there: the plan marks day 3 as «Hoy», which is the day you’re still living in Lisbon.

[On the road](https://kokai.app/en/en-ruta/) uses the same thing to show what’s on today according to the plan, and the AI plan to suggest today as «Desde» (“From”).

## The plan in Google Calendar (soon)

It’s built but not available yet. When it is, in Settings, with «Añadir los viajes a Google Calendar» (“Add trips to Google Calendar”), Kokai will copy each trip into a calendar of its own, separate from yours, which you’ll be able to turn on or off as a whole from Google Calendar:

- The trip, as an all-day event.
- Each plan entry **that has a time**, at that time and in the destination’s time zone, with its duration or, if it has none, one hour. Entries without a time aren’t copied: they would fill the day with alerts.
- Dated tickets, bookings, admission tickets and hire cars, with their reference.
- Check-in and check-out for each booked accommodation.

It’s a one-way copy that updates itself while the app is open and doesn’t duplicate events.

## What the plan doesn’t do yet

- **Real routes**, following the streets and with public transport timetables: times are estimates.
- **Checking opening hours** against the plan (“the museum is closed on Mondays”). The AI plan is asked to take it into account, but the plan doesn’t warn you if you put it on a Monday by hand.
- **Sharing the plan** with the people you travel with: shared trips are still pending.

## Check it yourself

1. Open a trip with dates and tap «Plan»: there’s one card per day and, at the end, «Sin fecha» (“Undated”).
2. On a day, press «Añadir» (“Add”), choose «Uno de mis sitios» (“One of my places”), a place and a time, and press «Añadir». Repeat with another place.
3. Between the two, the distance and «unos … min» (“about … min”) appear. Tap the second one and, in «Cómo se llega desde lo anterior» (“How you get there from the previous stop”), choose «Coche» (“Car”): the time changes.
4. Press «Mapa» (“Map”) in the day’s header: you see only those places and the line joining them. «Ver todos» (“See all”) goes back to all of them.
5. Under an entry’s «Más acciones» (“More actions”), use «Mover al» (“Move to”) another day or «Quitar el día» (“Remove the day”) to send it to «Sin fecha».
6. With an AI provider set up, press «Crear el plan con IA» (“Create the plan with AI”) or «Completar con IA» (“Complete with AI”), choose the days and press «Proponer el plan de» (“Suggest the plan for”) those days. Review the suggestion on the map with «Día 1» (“Day 1”), remove something and press «Guardar en el plan» (“Save to the plan”).

## Frequently asked questions

### Why doesn’t a journey time match Google Maps?

Because it isn’t a route: it’s the straight-line distance times 1.3, at a fixed average speed. It doesn’t know the layout of the streets, hills, timetables or traffic. It’s for seeing whether a day fits; to actually get there, «Cómo llegar» (“Directions”) on the place’s card opens Google Maps.

### Does the AI change my plan without asking?

No. What it suggests stays as a draft on your device, which you review day by day. Nothing goes into the plan or onto the map until you press «Guardar en el plan» (“Save to the plan”), and «Descartar» (“Discard”) throws it away without touching your plan or your places.

### Why has the AI duplicated a place I already had?

It’s only recognised as the same place if it has the same name (ignoring accents, capitals and punctuation) and is less than 1 km away. If the AI writes it differently (“Mosteiro dos Jerónimos” and “Jerónimos Monastery”), it comes in as new: delete it from its card and add yours to that day.

### What happens to the plan if I change the trip’s dates?

Entries keep their date. Those still inside the trip stay on their day; those that fall outside show up in «Sin fecha» (“Undated”), from where you move them to another day.
